This policy explains how AlloVet collects, uses and protects your personal data, in line with the General Data Protection Regulation (GDPR).

Article 1 – Data controller

For the data of a clinic's clients (calls, appointments), the clinic is the data controller and AlloVet is its processor. See our GDPR and data page.
Article 2 – Data collected and purposes
We collect and process the following data:
- Identification data (name, email) to manage portal accounts
- Connection data (logs, IP addresses) for security and proper operation of the service
- Call data (recordings, transcripts, summaries) to provide the service to the clinic
- Calendar data (via the Google Calendar API) to sync appointments
We do not use this data to train AI models.
Article 3 – Use of Google Calendar data
If you connect your Google account, we access some of your calendar data through the Google Calendar APIs. This connection is only used to:
- Sync your appointments
- Create and edit events in your Google calendar
We only access the data needed for these functions. We do not store, use or share Google Calendar data for any other purpose.
Our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. Google Calendar data is never used for advertising, is not shared with any third party without explicit consent, and access is limited to the service's essential functions.
You can remove access at any time from your Google account settings.
Article 4 – Hosting and security
We apply suitable technical and organisational measures to protect your data against unauthorised access, loss, destruction or alteration.
Traffic between your browser and our servers is encrypted (HTTPS). The application, database and recordings are hosted in Germany (European Union). During a call, the voice is processed in real time by Azure OpenAI (Microsoft) in Sweden (EU), under a data processing agreement. The full list of subprocessors is on our GDPR and data page. Call recordings are off by default.
Article 5 – Retention
Call audio recordings are off by default; when turned on they are kept for 14 days. Transcripts and summaries are kept while the clinic uses the service and deleted on request.
Article 6 – Your rights
Under the GDPR, you have the following rights:
- Right of access: get a copy of your data
- Right to rectification: correct inaccurate or incomplete data
- Right to erasure: ask for your data to be deleted
- Right to portability: receive your data in a structured format
- Right to object: object to the processing of your data
